I am Polly at RunVive Coaching and I take your privacy rights seriously. This Privacy Policy sets out the basis on which I collect and use personal data about you.
Who is responsible for the data I collect about you
I am the data controller for the purposes of data protection law, in respect of your personal data collected and used by me.
The personal data I collect about you
I collect information in different ways depending on how we work together. Most coaching clients complete a sign-up form, but I may also collect information when you email or message me, speak to me on a call or in person, book a session or class through this website, or register for an account. This may include:
- your name, email address and telephone number
- information about your running, training and goals
- health information where relevant to your training, such as injuries, medical conditions or medication
- payment details, which are handled by Stripe and I never see your card details
All the information collected is obtained directly from you. This is usually at the point of initial contact.
Health information
Health information is sensitive, so I only collect it where it is needed to coach you safely. I’ll always explain what I’m collecting and why, and ask for your explicit consent before I record it. You can give that consent in writing (for example, on my sign-up form or by message) or verbally (for example, on a call or in person). You can withdraw your consent at any time by emailing polly@runvive.co.uk. Withdrawing may mean I can’t coach you safely in some areas, but I’ll always talk it through with you first.
How I will use it
I use your personal information to:
- provide coaching and S&C sessions and to create your training plan
- communicate with you and track your progress
- take payment and manage bookings
- keep records I am legally required to keep
You may at any time request your contact information be deleted by contacting: polly@runvive.co.uk
Who I share it with
I don’t sell your data or use it for advertising. I only share it with the services I need to deliver coaching services and I only share the data that each one needs:
- Hostinger, my website host, which stores website data including your booking details and any account you create
- BookingPress, the booking system on this website, which records your bookings
- Stripe, to process payments.
- WhatsApp / Meta, to communicate with you
- Strava, where you choose to share your activities with me
- Google (Forms, Sheets, Docs and Drive), where I store sign-up forms, training plans and notes. Only I can see these, and your plan is shared only with you.
- Good Coach App, an optional training app. If you choose to use it, you create your own account and I can see the workouts you complete, along with any activity data from your watch that you connect. Using the app is entirely your choice. If you’d rather not, I’ll send your plan as a Google document instead.
- Google Analytics, which gives me anonymous website statistics
- Into Ultra, if you apply for Stronger Together through their application form. They handle your application data under their own privacy policy, and I receive the details of participants on the programme.
These providers have their own privacy policies. I may also have to share information if the law requires it.
Retention of Your Information
Coaching and health information is retained for a maximum of 15 months after our work together ends, unless you request for it to be deleted sooner. I retain booking and payment records for 6 years for accounting purposes, which I am required to keep. Where you have chosen to use the Good Coach App, I remove you from my account within 7 days of our work coming to an end.
